Thank you for choosing Lead Assign.  
Now you can take control of your incoming leads and get them to the right agent instantly!

You will find some answers here about how to get started.

Create an account

Go to app.leadassign.com and hit “Create an Account”

This will take you to a page where you fill out your name, email, phone # and password.  Once created this will take you back to the “sign-in” page where you enter your email and password to sign-in.

Create your company profile

This is where you name your company and choose your location. Once your location is set you are prompted to choose a phone number.

Each and every Lead Assign account comes with its very own number. This will be the number that your leads are sent to your agents from. You should  choose a # within the same area code as your current area.  It doesn’t matter ultimately which number you choose but your salespersons could be charged long distance charges if receiving calls from another country’s area code.

Where to send your incoming leads

Lead Assign will automatically provide you with a unique email address (yourcompany@md.leadassign.com).  This is the email address you should point your incoming lead sources to.  For example, contact forms on your website, leads from your external lead sources such as realtor.com, MLS, Zillow, etc… more on this later.

Set up tags

Lead Assign intelligently sorts leads according to tags that you define. To set up your tags you will want to include words which match the leads coming through the system.  For example for real estate you might want to add tags according to location, price ranges, residential or commercial.  The options are endless and are totally customizable to your business needs.  To add tags simply hit the “Add Tag” button and then hit “update” once entered.

Location Tags: Many sales agents are distinguished by the sales territories that they are responsible for. You should enter tags like zip or postal codes, for instance: ‘586’ would refer to zip codes in Dickinson, North Dakota, while N0H would refer to Thornbury, Canada. It may be that your agents don’t have postal code regions, but rather locations like ‘Fargo’ or ‘Jamestown’. You need to enter tags that match the leads that will be coming in, so you may need to add both kinds of location tags.

Price Range Tags: Agents can be responsible for certain price ranges. For instance houses in the $200,000 – $500,000 range. You can add a price range tag in this format only: (i.e. include the word ‘Range:’ at the start)

Range:$200000-$500000

Range:200000-500000     is also supported and makes other currencies easier to handle.

Note: Do not add commas or periods to the range tags, example do not use: Range:$200,000-$500,000

Add agents/team members

To add agents you will need each agent’s first name, last name, email address, and cell phone number. You can also include a forwarding email address for their CRM system (optional). Once you’ve added your agents you can associate any number of tags. These tags will define the leads that the agent receives.

View and add leads

To view activity, simply click on the “Leads” tab to view a consolidated list of incoming leads. You can “view history” to see who was notified, what action they took, and who ultimately responded to the lead.

If you want to add a lead to the system click on “Add Lead” enter the required information and submit. The lead will now go into the system and be immediately distributed to right agent. This can be useful for testing your configuration along with allowing your administrative staff to enter leads from phone calls.

That’s it!

Once your incoming leads have been set to come into your Lead Assign account your agents will start receiving them.

Frequently Asked Questions

How do I set up my account?

Go to app.leadassign.com to set up your account.  Click on “create an account”.  Fill out all of your required information for your company (email, phone number) and then create a password.  Once you have completed that the system will take you back to the Sign in page where you enter your email and password.

What is the unique Lead Assign phone number for?

Once you’ve signed in for the first time you will be prompted to set up your company profile.  You will be asked to choose a unique Lead Assign telephone number.  This number is used to send all of the leads to your agents.  You will want to choose a number that is within your current area code.  If you enter your current area code the system will generate a selection of numbers for you to choose from.  This is the number that will appear on your agents phones once the leads come in.

How do I choose a logo?

The logo personalizes your Lead Assign account and will show up on all communications with your agents.  Preferred format for your logo is a horizontal style, web optimized  JPEG, PNG or GIF.

What is the time limit per agent?

By default, the time limit is set to 5 minutes. This is editable from your company profile screen.

The time limit determines the amount of time an agent has to either accept or decline a lead.  If the agent does not either accept or decline the lead then the lead gets sent to the next best matched agent.

What is the Email Endpoint?

The email endpoint is your unique Lead Assign email address that you direct your leads to.  This email address should be entered as your contact email for anywhere you receive your leads.

How do I set up Tags and what are they for?

How does Lead Assign sort and distribute leads to my agents?

Having added all of the tags that are appropriate for your business and associated them with your agents, Lead Assign is able to parse your incoming leads, find key words that match your tags and build a list of appropriate agents, based on a ranking system, to receive the lead – all within seconds.  The most appropriate agent is then notified by text/SMS and email and has 5 minutes (configurable) to respond.  If they do not respond the lead then goes to the next best suited agent.  With the ability to assign a “catchall” if no agents respond you can be sure you will never lose a lead again.
